Process Overview

The Continuous Learning Advancement Fund (CLAF) call for proposals is modelled after the well-established process for Large Teaching and Learning Enhancement Fund Transformation projects.

Stage 1

A call for letters of intent (LOIs) that capture and describe the essence of the proposal concept and area, is broadcast. A small committee comprising Office of the Provost leadership, online learning practitioners and support staff adjudicates the LOIs. Project teams may be invited to discuss their LOI with the adjudication team to address any questions.

How to submit a letter of intent

We are accepting CLAF letters of intent (LOIs) until May 8, 11:59 pm PT. All LOIs must be submitted to claf.admin @ ubc.ca. Submissions to other offices (such as through a dean’s office or to the Office of the Provost and VP Academic) and late proposals will not be accepted.

Submissions should use this template. Please fill it in completely (noting the word count in each section) and send as an attachment to your submission email.

Stage 2

Proponents of successful LOIs are invited to work with support staff in Extended Learning, and, where applicable, unit, department, school or Faculty learning support teams. Over the spring and summer, representatives work together to develop full proposals that include a market assessment, work plan and budget.

Successful proposals begin development following the adjudication committee’s announcement of funded proposals.

How to submit a project proposal
  • Only proponents who received notification of approval to proceed to the proposal development stage can submit a proposal. No other proposals will be accepted.
  • Units/schools/departments/Faculties will be asked to provide feedback on full proposals prior to adjudication.
  • Before proceeding, please review all of the criteria for CLAF.
  • The CLAF team is available for consultation on your proposal prior to the final proposal deadline on July 24.
  • Applicants are asked not to forward applications directly to their executive director or dean’s office, or to the Office of the Provost and VP Academic.
  • All proposals must be submitted via email (along with relevant attachments as outlined in the proposal template) as a Word doc or PDF to claf.admin @ ubc.ca.
  • Late proposals will not be accepted.

Project Proposal Template

Submissions are required to use this template. Please fill it in completely and send as an attachment to your submission email to claf.admin @ ubc.ca.

  • Proposals should be written in a language that is understandable to a non-specialist. Bullet points, where possible, are preferred. All sections within the template must be completed.
  • The italicized text provides context and suggestions on answering each section. When completing the template, please delete the italicized text in each section from your proposal submission.
  • Project proposal submissions must be accompanied by this project budget worksheet. It must accompany your project proposal submission as an .xls file. Please note that the template includes sample amounts for planning purposes.
  • Proponents are required to consult or check in with the CLAF team (claf.admin @ ubc.ca) about their budget before submitting their proposal.

Proposal support and questions

The Office of the Provost and Vice-President Academic has convened an expert group of online and continuous learning practitioners from across campus to advise, support and guide units, departments, schools and Faculties in deploying high-quality online and continuous learning opportunities. These representatives assist with adjudication and proposal development for projects submitted to CLAF
